RULES & REGULATIONS

F1. Demonstration of Heavy / Large Exhibits

An Exhibitor intending to demonstrate equipment at his stand:

a. Must provide the Organiser with full details (type of machinery – dimensions and weight requirements).

b. Must give proper consideration to the conditions under which the equipment will be demonstrated. Precautions must be taken for the protection of the public, and legible signs displaying “DO NOT TOUCH” must be placed on any working exhibit to warn the visitor to stay a safe distance.

c. Must cause no annoyance to visitors or other Exhibitors. Where a high level of noise or other objectionable factors is involved, demonstrations may only take place at timings stipulated by the Organiser, who reserves the right to disallow a
demonstration at any time.

d. Must not bring in or use dangerous and hazardous goods and equipment at the Exhibition site such as poisonous gas, fuel, kerosene, noxious materials, inflammable, and equipment using such inflammable materials as gas stoves, kerosene stoves and electric stoves without the prior written consent of the Organiser. Even if consent is given, it will be subject to adequate precautionary measures being taken.

e. Must not carry out any fire-hazardous operation work.

f. Must keep their stands clean. Precautionary measures must be taken to prevent leakage of cutting fluid lubricant and oil or any staining. The Organiser reserves the right to reimburse the exhibitor for cleaning the stains.

g. Must lay plywood or steel plates with old/used carpet underneath as base at the exhibitor’s own cost to protect the floor surface.

F2. Standard Shell Scheme Stand Fitting Regulations

a. The permitted stand height is 2.44m (8ft). Any design for a structure exceeding 2.44m in height is subject to approval by the Venue Owner.

b. The walls have a white laminate finish. Hence, no nailing, drilling, mixtures or painting of any kind is allowed on the partition, color, ceiling or any hall structure or walls provided. Panels can be affixed to these walls with double-sided/Velcro tapes or brackets rented from the Official Contractor.

c. Before permission is granted or necessary passes are issued to booth contractors to carry out work at the Exhibition for Shell Scheme Booths interior decoration or upgrading of the booth, the following must be received by the Organiser before
commencing work.

d. The contractor will also have to bear any charges levied by the venue owner for damages caused to their property, flooring, or debris not cleared away. Failure to comply with the guidelines, rules and regulations will result in a penalty.

e. No part of any structure or exhibit may extend beyond the boundaries of the site allocated.

f. No false ceiling will be approved, unless the material used will allow water to flow freely (e.g., egg box or mesh netting). Approval by the Venue Owner and the Fire Safety Bureau must be obtained in writing if a portion of a stand is to be covered for a video presentation.

g. Aisle ways indicated on the floor plan must be kept clear of all exhibition goods or decoration materials in order to facilitate visitor traffic.

h. Exhibitors occupying corner booths have the choice of a wall or an open side on the aisle. The wall must not obstruct the stands around them.

i. Materials for the construction or decoration of booths must be flame-retardant and/or possess a minimum flame class 2 spread rating. These include scenery, backdrops, drapes, tables, and dust covers. Utilizing cardboard boxes as parts of exhibits or displays is not permissible. Evidence and proof may be required for on-site inspection
by the Fire Safety Bureau. All precautions must be taken by the Contractor or the Exhibitor against fire to protect the public.

j, Exhibitors and/or Contractors must clear out items not for display purposes (e.g., containers, packing items) the day before the exhibition opens and remove all exhibits and decoration materials immediately after the exhibition period according to the schedule provided. The Exhibitors will have to pay the Organiser for the cost of removing such articles from their stand if they fail to do so.

k. Booths are NOT ALLOWED to be partially or fully dismantled or exhibits removed from the booth before the last day of the event. Exhibitors/Contractors found violating the rule are liable to a penalty amounting to 50% of the booth rental.

l. Keep the washroom clean and dry. Cleaning of paint containers or any other dirty items in the washroom is prohibited.

m. No financial credit will be given by the Organiser for package items not utilized.

n. No painting or sawing may be done to the exhibition center fittings. The Exhibitor will be held responsible for any damage caused to the exhibition center fittings by their staff or contractor.

o. The Official Contractor is entitled to dismantle and store the stand materials and exhibits at the Exhibitor’s cost if the booth is not cleared by end of the official dismantle timing.

F3. Special Design Stand Fittings Regulations

Exhibitors having Special Design stands are advised to use the services of the Official Contractor appointed by the Organiser to undertake the job as this will facilitate convenient installation. The Organiser reserves the right to reject any contractor and design they deem inappropriate. Both exhibitors and contractors are expected to comply with any building regulations, all government rules and regulations, and regulations laid down by the Organiser.

a. The name of the contractor, stand layout plan and design (plan, font & perspective view) must be given to the Organiser by 22 April 2024 and that contractor must abide by these regulations. A copy of the drawings will be returned, authorizing the commencement of construction if the design is approved. Failure to obtain written approval can result in costly alteration onsite such as when designs or installations contravene fire and safety, stand height and boundary or any space contract rules and regulations.
b. Before permission is granted or necessary passes are issued to stand contractors to carry out work at the Exhibition for Special Design Stand interior decoration or upgrading of the booth, the following listed must be received by the Organiser before commencing to work;

Refundable Performance Bond
RM10,000 for booth below 200sqm
RM20,000 for booth above 200sqm
Note: The refund of performance bond might take up to 180 days of processing.

Pay a non-refundable administrative fee of RM 50.00 per sqm

The contractor will also have to bear any charges levied by the venue owner for damages caused to their property, flooring, or debris not cleared away. Provided the stand is completed on time, and no damages are caused, the Bond will be returned to the Contractor in full after the exhibition. Failure to comply with the guidelines and rules & regulations will result in a penalty.

c.    Please contact Official Contractor for rigging purposes. Only applicable for hall A, A1, A2 and C.

d.    The special designs above 5-meter height must submit drawing with professional engineering endorsement to Official Contractor. Please note that certain areas in the hall will not allow a booth height above 3m due to the fire curtain.

e. All partition walls should not be covered more than 50% in length and/or width unless the partitions are constructed against the actual walls of the hall, and not obstructing the products on display on the other side of it. The Organiser reserves the right to request the Exhibitor to change, modify, lower or shorten any back wall and sidewall proposed if, in the opinion of the Organiser, such a back wall or sidewall will obstruct the reasonable exposure of any adjacent exhibition stands. Back walls must be provided, except in the case of an island stand. Stands with adjoining neighbors should also be provided with the necessary sidewalls.

f. For all booths in Hall A and Hall A1, Exhibitor(s) and/or their appointed contractors must ensure the booth’s direction is facing towards the MAIN WALKWAY of the hall which located in the middle of the hall.

g. The Name and Booth Number of the Exhibitors must be prominently displayed. If this is not observed, the Organiser reserves the right to affix booth numbers as they consider fit and charge the cost incurred to the Exhibitor.

h. A suitable floor covering, such as carpet, must be provided for all stands. Underlay or platform is required for special design and/or car display at Hall D.

i. Underlay for vehicle move-in at Hall A1, A2, Laman Tiba must be provided by contractor or exhibitor at their own cost. Underlay with at least 18mm thickness is required.

j. Where a ‘Special Designed’ booth is located adjacent to a ‘Shell Scheme’ booth, the wall of the ‘Shell Scheme’ booth is considered rented by that exhibitor and may not be utilized by the ‘Special Design’ booth.

k. All exposed rear surfaces of designs and structures must be decorated unless it is against the actual walls of the Exhibition Hall.

l. No part of any structure may extend beyond the boundaries of the site allocated.

m. Materials for construction or decoration of the booths must be flame-retardant and/or minimum flame spread rating of Class 2., including scenery, backdrops, drapes, tables, and dust covers. Utilizing cardboard boxes as parts of exhibits or displays is not permissible. Evidence and proof may be required for on-site inspection by the Fire Safety Bureau. All precautions must be taken by the Contractor or the Exhibitor against fire to protect the public.

n. Exhibitors and/or Contractors must clear out items not for display purposes (e.g., containers, packing items) the day before the exhibition opens and remove all exhibits and decoration materials immediately after the exhibition period according to the schedule provided. The Exhibitors will have to pay the Organiser for the cost of removing such articles from their stand if they fail to do so.

o. A stand that has a roof or ceiling fitted is required to provide additional fire protection equipment smoke detector, portable CO2, dry chemical extinguisher or sprinkle system. Approval of the Organiser and the Fire Safety Bureau must be obtained in writing if a portion of a stand is to be covered for a video presentation.

p. Material used for lining, drapes and/or overhead structure used for display must be rendered non- flammable as per BOMBA’s requirement. The use of flammable materials is strictly prohibited unless treated with fire retardant.

q. Exhibitors are reminded that it is the responsibility of their appointed booth fitting contractor to clean and vacuum the stand upon completion of construction, before handing it over to the Exhibitor.

r. Exhibitor(s) or their appointed contractor must ensure all vehicles that are used for display purposes must not exceed 1/4 of the fuel tank.

s. Keep the washroom clean and dry. Cleaning of paint containers or any other dirty items in the washroom is prohibited.

t. Contractor’s admission: Passes enabling temporary contractors to enter the exhibition hall during the build-up and tear-down periods for construction and dismantling purposes will be issued only upon application to the Official Contractor’s
Office. The Official Contractor reserves the right to reject any contractor and design they deem inappropriate.

u. In the event of a dispute, the Official Contractor’s decision will be final.

v. Stands are NOT ALLOWED to be partially or fully dismantled or exhibits removed from the booth before the last day of the event. Exhibitors/Contractors found violating the rule are liable to a penalty amounting to 50% of the booth rental.

w. The Official Contractor is entitled to dismantle and store the stand materials and exhibits at the Exhibitor’s cost if the booth is not cleared by end of the official dismantle timing.

F4. Operation of Booth

a. The booth must be staffed and operational at all times during show opening hours. The Exhibitor’s staff must wear the Exhibitor’s badges issued by the Organiser for identification. The Exhibitor shall be responsible for the good conduct of all his staff, agents or representatives.

b. No business activity shall be conducted by the Exhibitors and/or their staff or exhibit display outside their stand boundaries. The Organisers have the right to remove all items from the common areas and/or charge for the additional space used. Failure to adhere to this guideline may result in your stand being closed.

c. No activity, which in the opinion of the Organiser, is tantamount to inconvenience or annoyance to the public or other Exhibitors, shall be caused by Exhibitors within the vicinity of the Exhibition. Examples include the noise level of equipment demonstrations and audio-visual presentations. Music or noise emitting from the exhibition booth cannot exceed 70 decibels (A).

d. All exhibitors planning promotional activities with an emcee are required to submit activity details using Form 1 to the organizer. Approval from the organizer is necessary to prevent simultaneous promotional activities by neighbouring booths.

e. No Exhibitor may use air compressors or pressurized containers without prior approval of the Organiser.

f. The weight of all exhibit items shall not exceed the floor loading limit.

g. All precautions must be taken by the Exhibitor against fire and to protect the public. Exhibitors, who, because of the nature of their exhibits, require specific fire protection, must make arrangements, at their own cost, for the provision of such equipment.

h. Without the special permission of the Organiser, no exhibits can be taken into the stand once the Exhibition has been officially opened, nor removed from the stand before the close of the Exhibition.

i. Details of any stage shows should be sent to the Organiser for approval.

j. Unauthorized photo/video shooting in the venue is not allowed.

k. Exhibitors are not allowed to distribute promotional materials outside their stands. This is to observe fairness to other Exhibitors and to prevent inconvenience to visitors.

l. Fire & Safety regulations require that neither good nor packing materials may be stored in access areas behind or between booths. Exhibitors should design proper storage areas with adequate access within their own booth or approach the Official Freight Forwarder for storage.

m. Each Exhibitor is responsible for indemnifying the Organiser and their agents against liability to the owners of the exhibition premises, public authority or department of Malaysia Government and each and every other Exhibitor in respect of any action, cost, claim and demand of whatever nature consequential to any act or omission of the Exhibitor, his staff or agents.

n. The Exhibitor shall be responsible for any damages to the structure, floor, walls, pillars and any part of the Exhibition Hall, the Property of the Organiser, and any other Exhibitors caused by his staff in transportation, removal of exhibits, refuse and/or decoration works.

o. Exhibitors are advised to provide car cover as a protection at their own cost. Any damages arise will not be beared by event organizer

F5. Electrical Contractor and Installations

Electricity will be supplied through the Organiser only. The Official Contractor has been appointed to carry out all electrical work (wiring and connections, lighting, etc) on all booths (Shell Scheme/Package and Special Design) at the exhibition and all charges thereof shall be paid by the exhibitor.

a. The number and type of additional electrical fittings and installations required must be indicated by the Exhibitor on Lighting & Power Form 5. An invoice will be submitted on receipt of this form for unscheduled fittings or installations.

b. No electrical installation may be suspended from the roof of the exhibition hall or affixed to any part of the building structure. No fitting may project beyond the boundaries of the installations and must be adequately protected against the excess current.

c. In the case of lightbox displays brought in by Exhibitors, each fluorescent or lamp used will be treated as general lighting and charged as per an additional order. Please refer to Form 5 for electrical orders.

d. Any design or plan of electrical installation must be submitted to the official appointed contractor before the deadlines indicated. The Official Contractor reserves the right to disconnect the electricity supply to any Exhibitor whose installations either violate the Official Contractor’s regulations or are deemed dangerous or likely to cause annoyance to visitors or other Exhibitors.

e. Electrical single line diagram with PE & PW4 endorsement to be submitted to Official Contractor for approval (applicable for booth with audio visual equipment that required isolator power supply only).

f. NO MULTI-PLUGS ARE ALLOWED. All sockets are for machine operation only and not for lighting. For safety reasons, please use one socket for one machine only.

F6. Venue Rules & Regulations

With your cooperation in adhering to the guidelines listed below, we can all benefit from maintaining the highest possible standards of cleanliness and quality for your event.

Restricted Area

For your safety, Fire Hoses, Exits, Lifts, Ramps and Public Areas must remain clear of any obstruction at all times.

Lease Area
Construction work should only be done within the area specified in the lease agreement.

Floor Covering
For the protection of flooring, appropriate materials are needed to cover areas where painting and construction occur.

Painting
Major painting of displays and exhibition materials are not permitted in the Centre. However, “touch-up” painting of the displays and exhibition materials is permitted in the Exhibition Halls provided such work is undertaken during the Move-In period only and all safety precautions and protective surface coverings are put in place.

These precautions include:
-Painting in an area which is properly ventilated
-Use of Non-Toxic Paints
-Covering the floor with plastic overlay or drop sheets.
-No painting near the Centre’s vertical structures (i.e., walls, columns)
-No washing of paint material within or surrounding the Centre.
-The use of spray paint is strictly prohibited within the Centre. The Licensee is responsible for any damage to the Centre that is caused as a result of painting and will be liable for the cost of reinstating the damaged area to its original condition.

Electrical Equipment
For your safety electric saws, wielding and drilling equipment which emit sparks are not allowed to be used in the building.
Identification
For the security of the event, all organisers, contractors and subcontractors must have identification. Please consult with the show organiser for assistance.
Working Hours
Construction work and dismantling time must be in accordance with the lease agreement.
Forwarding
Construction equipment is allowed to be transferred to the building only on set-up and tear-down days.
Smoking
Malaysia Agro Exposition Park Serdang is a “smoke-free” building. No smoking is allowed anywhere inside the venue, at any time.
Dangerous Materials
No naked lights and lamps or temporary gas or electrical fittings may be used in the exhibition halls. No explosives, petrol, dangerous gases or highly inflammable substances are allowed in the halls. No radioactive materials are to be used

Food & Beverage
No outside food and beverage are allowed into the venue.
All exhibitors and contractors are requested to abide by the venue’s rules and regulations. Organisers have all the rights to stop, suspend and/or charge for any damages caused by the construction when exhibitors or contractors overrule.
